Accruals

Why would I use accruals?

Accruals are usually used when employees have to accrue their time-off balance throughout the year. This is not used if employees receive their full balance at the beginning of the year. 

Where are accruals created?

Accruals can be created within the Users Settings or within Time-Off Policies. We recommend adding accrual settings into policies, this way there's less chance to do any user errors.  

What intervals can be set up for accruals?

Accruals can be set up Daily, Weekly, Every X Month, Semi-Monthly or Every 2 Weeks.

How can time accrue?

Accruals can be set by hours, days or percentage of allowance. We recommend using the percentage of allowance because if the allowance change there's no need to update the "Accrue by". 

One of my users is on leave and should not receive accruals.  How do I stop them?

You can easily put a Hold on an accrual while the user is on leave, here's how.

Placing a Hold on an Accrual:

  1. Time-Off
  2. Manage Users
  3. User List
  4. Select User
  5. Edit User Settings
  6. Balance Accrual Tab
  7. Edit
  8. Set to inactive.
  9. Save Changes
To activate an inactivated accrual go to Manage Users-> User List-> Edit User Settings-> Balance Accrual-> Turn off the Active switch-> Edit-> Active-> Yes-> Save.

  4. Select User
  5. Edit User Settings
  6. Balance Accrual tab
  7. Create New Balance Accrual
  8. Select the Time-Off Type
  9. Set the interval and accrual rate. 
  • Daily, if set by hours or days divide the allowance by 365 or set it at 0.275% of the allowance
  • Weekly, if set by hours or days divide the allowance by 52 or set it at 1.923% of the allowance.
  • Every (1) Month, if set by hours or days divide the allowance by 12 or set it at 8.334% of the allowance
  • Semi-Monthly, if set by hours or days divide the allowance by 24 or set it at 4.167% of the allowance.
  • Every 2 Weeks, if set by hours or days divide the allowance by 26 or set it at 3.846% of the allowance.
  1. Accrue Until (Definition below)
  • Indefinitely
  • Until Allowance Is Full
  • Until Max Balance Of
  • Until Certain Date
  • Until Balance Is Full
  • Until Max Ratio of Allowance
  • Balance + Used = Allowance
  1. Restriction
  • Front-loaded balance option can be Balance Required or Overbook.  
  • If accruing, can be set to Balance Required, Allow Pre-Book to allow time-off to be requested as long as time will be accrued by the end of the year, or Accrued By Date to allow time-off to be requested as long as it will be accrued by the requested date.
  • Allow overbook will allow users to request as much time as they want
  1. Set the accrual Start date, accruals cannot backdate it can only accrue going forward.

Accrue Until Definitions:

Indefinitely: Will accrue forever. A Reset or Carry-Over will occur at the end of the calendar year depending on what is set-up for this time-off type. Once the calendar year restarts, so will the accrual.
Until Allowance Is Full: Will accrue until the sum of all hours accrued from this accrual (within the current calendar year) is below or equal to the maximum yearly allowance for this time-off type.
Until Max Balance Of: Will accrue until a specific number of hours of balance is reached.
Until Certain Date: Will only accrue between two dates.
Until Balance Is Full: Will accrue until the balance is equal to the yearly allowance for this time-off type.
Until Max Ratio of Allowance: Will accrue until the balance is equal to the yearly allowance times the ratio.
Balance + Used = Allowance:Will accrue until the balance and hours used are equal to the yearly allowance.
