Onboarding Templates

✅ How to Set Up Onboarding Templates in PurelyHR

Onboarding templates help you organize tasks for new hires and streamline the onboarding process. They include tasks for the new hire to complete and company tasks assigned to relevant departments or employees.

If all employees follow the same onboarding process, you can use one template. If you have multiple processes, we recommend creating templates based on departments or offices.


Setting Up a New Onboarding Template

To create a new onboarding template:

  1. Go to the Staff™ module.
  2. In the left-hand menu under Settings, select Onboarding Templates.
  3. Click New Template.
  4. Name the template (example: General Onboarding or Customer Service Onboarding).
  5. Provide a contact person for questions during onboarding (usually HR or the hiring manager).
  6. Choose whether managers can see all tasks in the template or only tasks assigned to them.
  7. Click Add.

Complete the Template by Adding Sections

Employee Tasks

These tasks are assigned to the new hire. Click Add Task to start. Task types include:

  • Document to Sign
    Upload a document for the new hire to download and electronically sign by typing their name.
  • Document to Read
    Upload a document for the new hire to read and confirm by checking a box.
  • Document to Fill Out
    Upload a document for the new hire to complete and re-upload. Accepted formats: .doc or .docx.
  • Checkbox Task
    A general task that can be marked complete by checking a box.

Tip: Upload account-wide documents (such as employee handbooks or company policies) under Documents in the left-hand menu before creating templates. Individual documents like offer letters are uploaded when starting onboarding.


Company Tasks

Assign tasks to departments or specific employees to support onboarding. Examples include:

  • Setting up email accounts
  • Preparing equipment
  • Giving an office tour

Provide:

  • Task Name
  • Description (optional)
  • Department (optional)
  • Assigned To (specific user)
  • Due Date (based on hire date)
  • Special Instructions (optional)

Resources

Share documents or links with new hires, such as:

  • Employee handbook
  • Benefits information
  • Tax forms

Click Add Resource to include these items.


Starting the Onboarding Process

Once your template is ready:

  1. Go to Onboarding in the side menu.
  2. Click Onboard New Employee.
  3. Upload individual documents for the new hire.

Important Notes

  • Only administrators can create onboarding templates.
  • Completed tasks appear in green with a checkmark.
  • To view signature confirmations, go to Documents → View History.
