Notifications: Pending Reminder Occurrence Settings
The Occurrence settings define when reminder emails are sent. You can now configure up to three separate occurrences, giving you more flexibility to notify managers or administrators at different points in time.
How Occurrences Work
Each occurrence determines when a reminder is triggered, based on your selected reference point:
- Event Date – based on the date of the request (e.g., time-off start date)
- Created Date – based on when the request was submitted
For each occurrence, you can specify:
- A number of days (positive or negative)
- A reference point (Event Date or Created Date)
Configuration Options
You can define up to three reminder occurrences:
- Occurrence #1
- Occurrence #2
- Occurrence #3
Each occurrence includes:
- A day value
- A “Relative to” setting (Event Date or Created Date)
How to Interpret Values
- Negative values (e.g., -5)
Send the reminder before the selected date
Example:-5 relative to Event Date→ reminder sent 5 days before the event - Positive values (e.g., 3)
Send the reminder after the selected date
Example:3 relative to Created Date→ reminder sent 3 days after the request is created - Zero (0)
Send the reminder on the same day
Example Configuration
- Occurrence #1:
-5 relative to Event Date
→ Sends a reminder 5 days before the request start date - Occurrence #2:
-1 relative to Created Date
→ Sends a reminder 1 day before the request was created - Occurrence #3:
-14 relative to Created Date
→ Sends a reminder 14 days before the request was created
This allows you to combine proactive reminders before an event with follow-ups on long-pending requests.
Best Practices
- Use Event Date-based reminders to notify approvers before an upcoming absence
- Use Created Date-based reminders to follow up on requests that have been pending too long
- Combine multiple occurrences to ensure important requests do not go unnoticed
