Uploading Documents

Documents can be uploaded, team- and user-specific, to the Staff module by the admin on the account.

Managing documents in PurelyHR is simple and flexible. Whether you need to share files with your entire team or upload user-specific documents, the Staff module makes it easy.

 


Can You Upload Documents for Everyone and Specific Users?

Yes! PurelyHR supports both:

  • Shared Documents (Account Documents) – Accessible by multiple users based on privacy settings.
  • Private Documents (User Documents) – Linked to individual user profiles.


🔐 Privacy Settings for Account Documents

When creating an Account Document, you can control visibility:

  • Admins Only
  • Admins & Managers
  • Admins, Managers & Employees

You can also target specific Departments and/or Offices for better organization.

How to Set Privacy:

  1. Go to Staff Module → Documents (left navigation pane).
  2. Click Create Folder.
  3. Upload your document.
  4. Add Title, Description, and choose if it requires a signature.
  5. Click Upload.
 
Tip: The default Account Documents folder is viewable by all users.

👤 User-Specific Documents

By default, User Documents are visible to the user and Admin(s). When uploading, you’ll see three toggles:

  • Require Signature – User must sign the document.
  • Manager Access – Allows the user’s manager to view the document.
  • Private Document – Only Admins can access.

Steps to Upload User Documents:

  1. Go to Staff Module → Staff Directory.
  2. Select the User.
  3. Click Documents Tab → User Documents.
  4. Upload the file:
    • Add Title and Description.
    • Choose the document.
    • Click Open.
    • Set optional toggles.
  5. Click Upload.
 


📄 File Types & Storage

  • Supported extensions: .doc, .txt, .xls, .ppt, .pdf.
  • All documents can be downloaded as PDF later.
  • Accounts include 500 MB of storage (  Additional storage space available with subscription).
